Email addresses

Email addresses

The email addresses page offers information about all email addresses on the website.

The first time that this function is viewed, the green information bar advises that an internal email domain can be specified by the user, to allow addresses to be divided into internal and external categories. Only Account Administrators are able to setup email domains within the Setup menu.

Clicking on the link in the green information bar or the “Set up domains” button brings you to the SiteInventory section in the Setup menu.

Here you can enter the email domain(s) that should be recognised as internal on your website.

After this action has been performed, you can click the “back” button to return to the email addresses tab in SiteInventory where the email addresses will now be divided into internal and external categories.

Within the SiteInventory section of Setup, which you can reach through the left hand menu, the user can also create email status codes, which enables email addresses to be categorised. This function allows account administrators to categorise email addresses and inform other users about the action that should be taken.

As a default two status codes are already included in the service, and new status codes can be created, edited and deleted at any time. Once a new status code has been created it can be immediately selected when viewing the list of email addresses.

Click the “back” button to return to the email addresses tab in SiteInventory.

A full list of email addresses can be viewed by selecting the category in the sub header tab, or by clicking the links within the table.

By clicking on one of the links in the table a full list is displayed. Below is an example for internal email addresses:

Internal email addresses

Email addresses can be filtered by email status codes. As a default all email addresses are displayed and the user can select one of the status codes in the drop down menu to view a specific list.

Status codes can be assigned to email addresses by selecting the box next to the email address and then selecting an action in the drop down menu and clicking the “save button”.

Multiple addresses can be selected when assigning status codes.

When viewing the list of external email addresses, there is an option to add the domain to the internal list and the associated email addresses will automatically be added to the internal address list.

A list of internal, external and all email addresses can be extracted as an Excel or XML file by clicking on the icons.
